Privacy Policy
Last updated: September 14, 2026
This Privacy Policy explains how Optimal Power Solutions, LLC (“OPS,” “we,” “us,” or “our”) collects, uses, discloses, and protects information about you when you visit our website, request electricians, apply to work with us, or use our portal. We supply electrical labor to contractors and general contractors across Jacksonville & Northeast Florida. We collect only the information we need to run our business and meet our legal obligations (data minimization).
This Policy covers two groups of people, and some sections apply to only one of them: clients (contractors and general contractors who request crews) and electricians (people who apply to work with us and those we place on assignment). Section 2 is specifically about electricians.
1. Information We Collect
- Contact & request details. Your name, email address, phone number, service/property address, and a description of the work you need, when you submit a request or contact us.
- Account information. If we create client portal access for you, your email address and authentication credentials, managed by our authentication provider.
- Project & site information. Records relating to your properties, estimates, contracts, invoices, permits, project documentation, and site photographs.
- Payment & billing information. Invoices and payment records. We do not collect or store full payment-card numbers ourselves; if we accept card payments, they are handled by secure third-party payment processors.
- Electronic-signature records. When you electronically sign a document, we record your name, email, the date and time, the document version, and technical information including your IP address and browser/device, as evidence of the signature.
- Technical & usage information. Cookies that keep you signed in and operate the site securely, plus limited technical data such as your IP address, which we use to secure our forms against abuse and to keep an audit record of changes to your account and documents. See section 5 for cookies, advertising, and analytics.
- Push notifications. If you turn on notifications, your browser gives us a subscription for that device so we can send them. You can turn it off at any time in the app or in your browser settings, which removes the subscription.
2. If You Apply to Work With Us, or We Place You on Assignment
This section applies to electricians, apprentices, low voltage technicians, and crew leads. Submitting our form is an application. It is not an offer of employment.
- Application details. Your name, email address, phone number, trade, years of experience, certifications, and anything you choose to tell us about your work.
- Profile photograph. If we place you on assignment, we ask for a clear photograph of your face. This photograph is shared with the client whose jobsite you are assigned to, so their superintendent knows who is arriving on site. A member of our staff reviews each photo before it is shared. We do not use facial recognition, and we do not collect biometric identifiers.
- Skill profile and summary. Your self rated skills and the written summary you provide. These are also shared with the client you are assigned to. Self ratings are labeled as self assessed.
- Feedback about your work. Ratings and comments a client superintendent provides about reliability, quality, and safety after a placement.
- Hours and assignment records. The hours you submit each week, the projects you are assigned to, your crew role, and your pay rate.
- Employment records. If you are hired, the records employment law requires, including eligibility to work, tax withholding, and payment details. These are generally collected and held by our payroll provider on our behalf rather than on this website.
- Screening. Where a client or a jobsite requires it, a background check or drug screening may be a condition of placement. We will tell you before any such check, obtain your written authorization separately, and provide any disclosure the Fair Credit Reporting Act requires.
What we never share with a client: your pay rate, your home address, your date of birth, your government identifiers, your screening results, or any other electrician's information.
3. How We Use Your Information
- To respond to inquiries and provide quotes, estimates, and services.
- To schedule, perform, and manage electrical work and projects.
- To create and administer portal accounts and process documents and signatures.
- To prepare estimates, contracts, and invoices and to process payments. We may use artificial-intelligence tools to help draft estimates and related documents from the details and photos you provide; our staff review and approve every document before it is sent to you.
- To communicate with you about your requests, projects, and account.
- To review applications, screen and place electricians, schedule crews, record hours, pay our crew, and bill our clients for the hours worked.
- To tell a client who is assigned to their jobsite, so their superintendent knows who is arriving and what that person is qualified to do.
- To secure and operate our website and systems.
- To comply with legal, tax, licensing, and recordkeeping obligations.
4. How We Share Information
We do not sell your personal information. We share it only as needed to operate our business, including with: service providers who host our website, database, file storage, payments, e-signatures, and email delivery, under obligations to protect your information; artificial-intelligence providers that process project details and photos on our behalf to help us prepare estimates and related documents, and that are not permitted to use your information to train their models; address-lookup services that suggest addresses as you type into our forms; professional advisors and subcontractors where reasonably necessary to perform or support your project; and authorities or other parties when required by law, legal process, or to protect our rights, safety, or property.
Sharing crew information with clients. If we place you on a jobsite, we share your name, photograph, crew role, certifications, skill profile, and summary with that client so their superintendent knows who is on their site. We share this only with the client you are actually assigned to, and only for as long as is necessary for that placement.
Payroll and screening providers. If you are hired, we share the information necessary for payroll, tax filing, and workers' compensation with our payroll provider and insurer, and, where a jobsite requires it, with a screening provider you have separately authorized.
5. Cookies & Tracking
We use first-party cookies that are necessary to keep you signed in and to operate the Services securely.
We also set one first-party attribution cookie (ops_src, 90 days) when you arrive through one of our tagged links, such as a QR code or an ad. It records only which channel sent you, so we can tell what is working. It does not identify you, it is not shared, and it is set only if you arrive on a tagged link. You can delete it in your browser at any time.
Advertising and analytics. Where we run measurement or advertising, we may load Google (Analytics or Ads) and the Meta Pixel, which set third-party cookies and may be used for cross-site advertising measurement. You can opt out using your browser settings or your device's advertising controls, and through the tools those providers publish. We do not sell your personal information.
6. Data Security
We apply reasonable administrative, technical, and physical safeguards designed to protect your information, including encryption of data in transit, access controls and least-privilege handling, row-level data isolation so clients can access only their own records, and private storage for uploaded documents. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
7. Data Retention
We retain your information for as long as needed to provide our services and to meet our legal, tax, licensing, and recordkeeping obligations, applying the longest applicable retention period. Financial and signed records, such as contracts, signatures, and invoices, are retained for the period required by applicable Florida and federal law (including the applicable statute-of-limitations and warranty periods) and are not deleted earlier, even when an account is closed. We dispose of information securely when it is no longer required. Employment and payroll records, including hours worked, are retained for the periods federal and Florida law require. If your application does not lead to a placement, we keep it only as long as is useful to consider you for future work, and you may ask us to delete it at any time.
8. Your Choices & Rights
You may access and review much of your information directly through your client portal. To request access to, correction of, or deletion of your personal information (subject to records we are legally required to keep), contact us using the details below. We will verify your identity and respond consistent with applicable law.
If you are an electrician, you may ask us to correct your profile, replace your photograph, or withdraw your application. If you ask us to remove your photograph while you are on an active placement, we will tell you what that means for that placement, because the client may require it as a condition of site access.
9. Florida Residents & Breach Notification
We handle personal information in accordance with the Florida Information Protection Act (Fla. Stat. § 501.171). In the event of a breach of security affecting your personal information, we will provide notice to affected individuals without unreasonable delay and within the time required by law (generally no later than 30 days), and we will notify the Florida Department of Legal Affairs where a breach affects 500 or more Florida residents.
10. Children's Privacy
Our website and services are intended for adults and are not directed to children. We do not knowingly collect personal information from children. If you believe a child has provided us information, please contact us and we will take appropriate steps to delete it.
11. Third-Party Links
Our website may contain links to third-party sites. We are not responsible for their privacy practices, and we encourage you to review their policies.
12. Changes to This Policy
We may update this Privacy Policy as our business and legal obligations evolve. When we make changes, we will update the “Last updated” date above. Your continued use of our website or services after a change indicates your acceptance of the updated Policy.
